Your funding and success rates could be affected: preparing your 2011/12 R15 ILR return - A and B file errors

With the close of the R14 ILR return we have noticed that there have been a small number of providers that are overwriting an A file from one MI system with an A file from another system. This will result in, at year end, not being paid for all of your delivery and also affect your success rates. Some providers have adopted appending a B file from a second system to an initial A file and omitted to send a B file every time which again results in us not having 100% of your learner records.

As we approach the hard close for 2011/12 year we would like to remind providers to send all your learner data for R15 in one A file or append the data by submitting B files by 16 November.

Recommendations:

  • During October you do a final review of your data, gather the files together where you are using multiple MI systems in your organisation and merge them into a single A file. Please use the Learner Information Suite to ensure that all of your learner data has been submitted well before the return date of 16 November.
  • Check that the value added reports show the total number of learners you wish to claim for in 2011/12.

When you have submitted your learner data for the 2011/12 year error free, please send an email to us at cvhdataservice@thedataservice.org.uk  to confirm you will be sending no further data, quoting your UKPRN in the subject header.
